POLICY FOR FAILURE TO ATTEND/SHORT NOTICE CANCELLATION/SHORT NOTICE RESCHEDULE
Polar Dental is a small business. We are not a large corporate dental practice and cannot accommodate the financial strain of missed appointments. Short notice cancellations, rescheduled appointments, failure to attend, and arriving late (more than 15 minutes) disrupts our other patients. It represents a cost to us and scheduling issues for other patients wanting to book. Due to our small business size and high demand for appointments we have the following cancellation policy:
We require 24 hours notice for cancellations and rescheduled appointments. Missing your appointment or cancelling/rescheduling your appointment at short notice will attract a fee. This fee is not punitive, it merely covers some of our running costs during this empty slot in our books.
If you do need to cancel or reschedule, please advise us as soon as possible so that we can offer your time to someone who is in urgent need of dental care.
Our front desk will remind you of your booking more than 24hrs in advance of your appointment, either by SMS or phone call. Please respond to these. This saves our staff chasing you up. If staff repeatedly cannot contact you to confirm your appointment, and you have previously missed appointments, your spot may not be held for you.
Rescheduling or cancelling appointments with MORE than 24 hours notice is absolutely fine and we will be more than accommodating. Rescheduling or cancelling appointments with LESS than 24 hours notice (without a valid reason) may result in a fee. If you then wish to make a second booking then we may also require an appointment holding fee of $50, or a percentage of the cost of a longer appointment. (If you attend, this will be taken off your cost of treatment, or refunded if your treatment does not cost $50.) Procedures that require long appointments, such as Zoom whitening, require 50% deposit at the time of booking.
